1. Information we process
GrantGuard processes account information (name, work email, role, organization), organization profile information, and the grant and procurement records your organization enters or uploads — including award documents, budgets, procurement policies, purchase requests, quotes, vendor information, approvals, contracts and supporting evidence.
2. How we use it
We use this information to operate the service: to organize funding sources and budgets, evaluate configured procurement rules, run document analysis you request, produce procurement records and audit packages, and support your users.
3. AI processing
When you request document analysis or a purchase review, relevant content from your organization's own records is sent to our AI processing provider to produce the analysis. Content from your organization is not used to expose information to other organizations.
4. Sharing
We share information with infrastructure, storage, authentication, AI and payment processing providers acting on our behalf. Records are shared with external reviewers only when your organization creates a Review Room and selects the records to share.
5. Retention and export
Procurement records are retained for your organization's recordkeeping needs and are not deleted when a trial or subscription ends. Administrators can export organization data at any time and may request deletion.
